Your tasks

As an Account Support Coordinator (ASC), you will support the coordination of Capital equipment projects and Service contracts for an assigned zone. You will be the internal central point of contact for the life of the equipment, directly collaborating with the Sales teams, Project Managers, Operations, and Service Directors. You will be responsible for creation of all quotes, project orders, and service contracts within SAP.

This position will support our West Coast teams, therefore must be able to work standard hours of 8:00am-5:00pm Mountain or Pacific. The ability to flex hours to 8:00am-5:00pm Central during the training period will be needed.

How you will impact Belimed and our clients

  • Create sales quotes/proposals based on information provided by Sales teams for Capital equipment

  • Schedule internal new project kick off meetings for new Capital projects with all corresponding team members to ensure unified communication

  • Review purchase orders for accuracy, ensure terms & conditions are signed, create sales orders in SAP for all related equipment

  • Coordinate project data with the Project Manager to ensure delivery schedule is met

  • Maintain required delivery dates within SAP & Power BI

  • Forecast upcoming projects to coordinate equipment availability with the warehouse employees

  • Schedule weekly review meetings with regional Project Manager to determine delivery dates & forecasted projects

  • Invoice capital orders and service contracts, works with internal teams to ensure complete resolution of any billing discrepancies

  • Create approvals & proposals for Service, Software, and cleaning contracts based on new leads from Regional Service Directors and Account Managers

  • Provide senior leadership with visibility into sales funnel, renewal rates, and new sales through timely reporting (e.g., warranty conversion, renewal rates, MTD sales reports)

  • Enter executed contracts and associated Maintenance Plans into SAP with regard to scheduled preventative maintenance

  • Execute Warranty contracts based on GPO affiliation, establishes Warranty dates for all equipment after installation

  • Provide customers with information regarding capital projects and service contracts within zone

What you need to succeed

  • Associate’s degree or high school diploma/equivalent and related experience

  • At least three years of experience in sales support, customer service, or contract management

  • Proficiency in Microsoft Office (particularly Word and Excel)

  • Excellent customer service, problem solving and negotiation skills

  • Ability to adapt to change & learn quickly to accommodate the evolving needs of the business

  • Strong interpersonal skills to facilitate a collaborative and positive working environment with all stakeholders

  • Excellent organizational and time management skills with the ability to prioritize

  • Professional written and verbal communication skills

  • Ability to define and resolve problems, research and collect data, establish facts, and draw valid conclusions

  • Strong attention to detail and commitment to delivering high quality outputs

  • Experience with CRM software
