Provides administrative/secretarial support, including, but not limited to, scheduling and coordination of meetings/seminars/travel, coordinating priorities throughout the day, perform independent and collaborative projects as needed.

Essential Duties:

  • Able to communicate effectively with co-workers in relaying information in a timely manner.

  • Receives calls in a professional manner.

  • Takes detailed messages, determines the urgency of calls, and forward them to the appropriate staff member

  • Types and proofs various documents (e.g. correspondence, reports, charts, minutes of meetings, hospital policies

  • Maintain computer records and files as needed.

  • Greets and assists visitors by providing them with information needed, contacting appropriate staff members to assist them, or taking messages for the staff.

  • Enters data in a timely manner, ensuring that all data is accurate.

  • Prepares reports for interdisciplinary meetings.

  • Copies and distributes patient census information to the staff members each morning.

  • FAXes reviews and retro reviews for Case Managers.

  • Handles incoming and outgoing mail on a daily basis, bringing priority item to the Director’s attention.

  • Coordinates meeting dates and times with participants.

  • Arranges for a conference room or other meeting location and catering services as needed.

  • Attends meetings and types minutes as requested.

  • Adheres to hospital policies, procedures, and standards.

  • Communicates with appropriate case manager and physician as needed regarding discharge planning.

  • Orders and maintains office supplies.

  • Assists with care and maintenance of office equipment.

  • Maintains files for the general filing system and the Director’s filing system.

  • Stores old files and destroys confidential documents according to departmental policies.

  • Edits Krono’s on a daily basis and enters data on DSR spreadsheet.

  • Processes and sends payroll every two weeks.

  • Facilitates obtaining computer access for new employees and registry staff.

  • Facilitates getting badges and parking for registry and new employees.

  • Collects TARs from admitting, distributes to correct case manager, and turns in when patient is discharged.

  • Inputs registry hours in Prosource.

  • Collects daily discharge information from case managers and reports to director.

  • Prints face sheets and FUSS notes for contacts and enters in CMS system for case managers.

  • Collaborates with admitting to obtain contact information.

  • Prints discharges daily and fills out Medicare One Days forms and submits to director for review.

  • Performs other duties as assigned.

Required Qualifications:

  • Req High school or equivalent

  • High school diploma or equivalent education

  • Req 1 year Previous secretarial experience.

  • Pref Office management.

  • Req Transcription and mathematical aptitude.

  • Req Must be well organized and work independently with minimal direction.

  • Req Demonstrates excellent verbal and written communication skills.

  • Req Strong organization skills.

  • Req Computer literacy in word processing, spreadsheets, etc., is required

  • Req Ability to work independently with minimal direction.

Preferred Qualifications:

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The hourly rate range for this position is $22.00 - $34.18.
