Administrative Assistant II Location: Duarte, CA Duration: 3 months with possible contract to hire Description: Position overview: Performs administrative and office support activities for multiple supervisors. Duties may include fielding phone calls, receiving and directing visitors, typing, filing, and faxing. Skills in word processing, spreadsheet and presentation software required. Internet research abilities are also important. Staff in this category may also have the title of dept. asst, coordinator or associate. Previous experience within HR department is helpful but not required. Past experience scheduling meetings/interviews/attention to detail is critical. Must have exceptional communication skills (written and verbal) as well as excellent organization skills. With significant independence, provides senior administrative support that requires no instructions on routine work, and general instructions on new assignments. Resolves routine complex inquiries utilizing knowledge of policies and procedures. Applies advanced skills to the position. Compiles and analyzes basic information for inclusion in reports or presentation materials; prepares charts, graphs or tables as necessary. Routine work may be scanned by others upon completion. Prioritizes projects for completion with only limited supervision, typically receiving only general instructions. Applies applicable policies, procedures, and practices to resolve a variety of new and routine issues. Relies on experience and judgment with the flexibility to create solutions. High level administrative support for surgeons. Calendar management, meeting scheduling, travel and expenses for very busy surgeons Minimum qualifications and experience: 3-5 years responsible secretarial or clerical experience in a healthcare environment. Previous healthcare experience is an absolute must. Experience in surgical environment preferred. Minimum education: HS Diploma or equivalent
