Architect of the Capitol Administrative Support Assistant in Washington DC, District Of Columbia
Summary The position is located in the Architect of the Capitol (AOC), Senate Office Buildings. Incumbent serves as an Administrative Support Assistant and assists in the daily administrative operations of the office by performing a variety of administrative, clerical and technical support tasks that facilitate office operations. This is a career ladder position. Responsibilities The individual selected for this position: Prepares, tracks and routes document, reports and correspondence. Reviews and evaluates documents related to special projects and action items. Receives and reviews all incoming correspondence, establishing controls on certain items. Routes correspondence to appropriate staff member. Prepares complex but non-technical answers to queries and actions on own initiative or from brief comments from supervisor. Prepares a variety of materials using a personal computer such as briefings, tables, forms and viewgraphs. Uses advanced functions of a wide range of office automation software to perform such tasks as preparation of reports and briefing documents, maintenance of fiscal records and tracking the status of a number of important projects assigned to the office. Serves as primary contact for calls and visitors to the office. Receives visitors and incoming telephone calls. Responds to inquiries or directs the caller to a staff member who can provide assistance. Prepares travel authorizations and vouchers after completion of trips. Responsible for assessing office's supply and equipment needs, preparing requisitions and necessary and tracking status of supply and equipment orders. Provides input in matters concerning internal administrative issues and is responsible to follow up on commitments made in related meetings to ensure that pending issues are addressed by the appropriate personnel. Manages time and attendance and advises and provides guidance to other administrative assistants or relevant staff. Assists staff with GOV/TA time and attendance reporting. Provides guidance on time and attendance issues. Schedules, tracks and monitors calendars and appointments. Maintains the calendars for director/deputy and occasionally maintains calendar for other staff. Acts as a field representative when handling Worker's Compensation Claims. Assists supervisors and injured employees in completing and signing forms for medical treatment. And Worker’s Compensation program, Family and Medical Leave Act (FMLA), clearances, requests for badging and transportation benefits. Performs other related duties as assigned. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Candidates for the GS-08 grade level must have at least 52 weeks of specialized experience equivalent to the next lower (GS-07) grade level in the Federal service. Experience must be demonstrated in resume. Specialized experience is defined as having experience in 3 out of 4 of the following: Developing administrative procedures to resolve problems and concerns regarding the quality and timeliness of correspondence, data reporting, scheduling and customer service. Manipulating data to compile, organize, generate and maintain reports and documents utilizing databases, spreadsheets and other electronic applications. Coordinating special projects to meet organizational objectives. Serving as liaison between the supervisor and reporting units and external contacts for the purpose of interpreting instructions and information and for following commitments through to completion.
