Position Location : This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC office with the option of at least two days of remote work each week.

Please Note: This position is included in the staff bargaining unit, Brookings United, affiliated with the IFPTE Local 70 union, and is covered under the terms of the collective bargaining agreement.  

Responsibilities

Ready to contribute to Brookings success?

The Development Coordinator will support Brookings Metro’s development team. Responsibilities include timely and accurate entry of fundraising data into CRM databases, administrative and fundraising support, as well as scheduling meetings, coordinating event logistics and travel. The Coordinator will manage multiple assignments, manage systems, take initiative to learn new skills and problem solve, and will understand and anticipate team needs. The Coordinator will have a commitment to Brookings Institution’s and Brookings Metro’s mission.

Support for Fundraising Activity (40%)

  • Works with the Senior Director of Development (SDD) and Director of Development (DD) to support proposal and renewal strategies, including coordinating with Metro Finance and Metro Research around proposal preparation and assisting with additional materials required for foundation submissions (board lists, tax documents, etc.).

  • Works with the SDD and DD to support grant reporting, including coordinating the preparation and production of grant reports with Metro Research and Metro Finance to ensure timely submission.

  • Maintains calendar for solicitations and reports and proactively communicates upcoming deadlines to SDD and DD.

    Data and Information (30%)

  • Manages, inputs, and tracks all fundraising data into Institution-wide Raisers Edge database and becomes the team’s expert in the functions and opportunities in Raisers Edge.

  • Serves as lead in inputting data and maintaining all development files and data in SharePoint and Salesforce.

  • Coordinate with Central Development on prospect research to identify potential new corporate, individual and foundation donor prospects.

  • Maintains donor lists for research portfolios, geographic regions, program initiatives, and councils/advisory groups.

    Administrative Support (20%)

  • Participates in weekly All Dev, Metro Dev, and other staff/scholar meetings, and distributes agenda items as required.

  • Initiates and oversees the routing of all proposals and gift agreements for cross-function internal approval.

  • Prepares briefings for funder and prospect meetings.

  • Schedules development-related appointments, meetings, and conference calls for the Dev team.

  • Coordinates travel logistics including (air, train, hotel, ground transport); prepares travel expense forms; prepares P-card transaction assistant forms.

  • Prepares and shares invoices as needed/requested.

    Events & Special Projects (10%)

  • Works closely with Metro’s Events team to plan and execute Met Council planning meetings/calls and Met Council events, Advisory Circle meetings, and other Program-wide events.

  • Coordinates with the Events and Outreach Manager, Brookings Central Development and Executive Offices on Brookings events (i.e. Brookings Council, Metro events, etc.), funder meetings, BI President/trustee related items, etc.

  • Performs other duties as assigned.

Education/Experience Requirements

Three (3) years professional administrative work experience in a fast-paced, challenging work environment; preferably with experience in networking and organizing. Proven ability to work with senior level executives, both internal and external. High school diploma required; bachelor’s degree preferred.

Must be authorized to work for any employer in the U.S.

Knowledge/Skill Requirements

Microsoft Outlook (to include the calendar feature), Word, Excel and PowerPoint proficiency required. Salesforce and Raisers Edge proficiency preferred. Excellent organizational and project management skills with high level of attention to detail and follow-up. Strong oral and written communication skills with ability to interact with all levels of internal and external stakeholders. Must be proactive and demonstrate a high degree of professionalism. Ability to maintain confidentiality of highly sensitive information. Ability to work independently as well as with a team.
