Brief Summary of Work for this Position

The Executive Assistant coordinates day-to-day activities that support the Operations and Strategy function unit which includes providing coordination and support to various Academic Affairs initiatives, primary administrative support of the Provost Office and managing purchasing/travel/etc. processes. Work ranges from standardized office support assignments to performance of administrative duties involving decision-making and judgment. Work requires contact with program staff, managers of other units within the organization.

Minimum Education and Experience Requirements

Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions.

Preferred Education, Knowledge, Skills and Experience

  • Experience in higher education
  • Ability to exercise judgement, tact, and discretion in dealing with a wide variety of administrators, faculty, staff, and members of the community
  • Solution-oriented with a can-do attitude; will seek out solutions to problems independently *
  • Ability to manage multiple assignments, organize work, and establish work priorities with minimal supervision
  • Ample experience with Microsoft Office Word, Excel, PowerPoint, SharePoint, Teams, and Zoom
  • Support the Associate Provost with management of key initiatives
  • Maintain a schedule of committee meetings
  • Understand policies and procedures that connect to initiatives
  • Conduct research and analysis as requested and necessary to complete tasks
  • Manage communication platforms for initiatives including Teams and SharePoint sites
  • Manage and organize documents and develop materials as requested
  • Manage the Associate Provost's office calendar, schedule appointments, coordinate meetings, and problem solve scheduling conflic s.
  • Document meeting agendas and/or background information within appointments on the calendar
  • Help Associate Provost manage meeting times throughout the day and week
  • Document meeting minutes
  • Assist with various events and retreats throughout the year
