Job Title: Payroll Specialist

Job Description:

We are seeking a highly engaged, organized and detail-focused Payroll Specialist to join our team. The primary responsibility of this role is to accurately process and record biweekly payroll for over 750 employees. This role plays a crucial part in ensuring that the company's payroll operations run smoothly and effectively. You will be in charge of producing journal entries, managing payroll taxes and filings, as well as various other payroll-related tasks. Preferably, the candidate should possess a degree in accounting or acquire a minimum of seven years of experience in payroll.

Responsibilities:

  • Manage all aspects of in-house payroll processes for over 750 employees on a biweekly basis.

  • Perform data entry and reconciliation of timecards, calculate overtime, verify accuracy of payroll data.

  • Prepare and maintain accurate records and reports of payroll transactions.

  • Ensure compliance with federal and state regulations and guidelines.

  • Prepare and submit journal entries related to payroll transactions.

  • Manage and calculate taxes and deductions, handle payroll tax filings to local, state, and federal agencies.

  • Address issues and questions regarding payroll from employees and superiors.

  • Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions.

  • Prepare periodic payroll reports for review by management.

  • Stay abreast of current payroll tax requirements and relevant laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting.

  • Process employment verification and provide process improvement recommendations

Qualifications:

  • A bachelor's degree in accounting is preferred.

  • Minimum 7 years of full-cycle payroll processing experience is required.

  • In-depth knowledge of general accounting principles and payroll best practices.

  • Strong knowledge of federal and state regulations.

  • Strong PC skills including proficiency in Excel.

  • Exceptional attention to detail, and proven ability to perform tasks with high accuracy.

  • Strong organizational skills, and the ability to work under pressure.

  • Excellent numerical aptitude and strong problem-solving skills.

  • Excellent communication and interpersonal skills.

  • Ability to handle and prioritize multiple tasks and meet all deadlines.

Requirements • Minimum 3 years of experience as a Payroll Administrator or similar role in the Utilities/Infrastructure industry

• Proficiency in payroll software such as ADP Workforce Now, Ceridian, and Kronos Timekeeping System

• Advanced skills in Microsoft Excel

• Experience with 401k - RRSP Administration

• Knowledge of About Time software

• Familiarity with accounting functions and benefit functions

• Experience in check processing

• Bachelor's degree in finance, accounting, or related field is preferred

• Strong attention to detail and good organizational and time management skills

• Excellent communication and interpersonal skills

• Ability to handle confidential information

• Understanding of labor legislation and payroll taxes.
