Spectrum Healthcare Partners is Maine’s largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, orthopaedics, pain management, pathology, radiation oncology, radiology, and vascular & interventional services. Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire.

POSITION SUMMARY

Responsible for performing a variety of duties in both the clinical and administrative areas focusing on the delivery of quality patient care.  Serves as a mentor providing support, training, and sharing knowledge as the resource in their department.   The Site Lead demonstrates competency in all skills related to the performance of patient care within their scope of practice and according to organizational policies, accrediting and licensing bodies.  This position is located in our Windham, Maine clinic.  M-F 8:30 - 5:00. 

ESSENTIAL FUNCTIONS

  • Coordinates, motivates, and directs workflow of the satellite team, delegating tasks to appropriate staff within their job descriptions

  • Works closely with the Patient Access Manager, overseeing Patient Service Representatives

  • Assists with the coordination of physician and APP’s schedules as needed  

  • Problem solves scheduling issues through open communication and meets regularly to discuss issues as they arise.

  • Coordinates staff coverage during sick and vacation leave

  • Provides onboarding and support to incoming and new staff

  • Provides direct patient care to include  Rooming patients; obtaining vital signs and measurements; medication preparation and administration as directed by providers, imaging duties within scope of practice

  • Assists physician with the health/physical assessment process and assists with patient testing procedures as directed by physician

  • Assists in the documentation and delivery of plan of care.

  • Collaborates with surgical scheduler to coordinate pre-operative diagnostic tests, medical consults, etc.; gathering information to ensure pre-operative emergency room patient facilitating questions regarding wound care, pain management, and follow-up appointments

  • Documents patient care services timely and accurately by charting in the patient record. Documents therapeutic procedures, dressing changes, wound management, allergies, and medication dosages

  • Optimizes patient care by assisting administrative and clinical staff with calls and scheduling urgent appointments in a timely manner.

  • Provides performance feedback to Supervisor or Manager and contributes to performance evaluations

  • Supports and oversees student externship and new employee orientations

  • Works with the site providers to ensure all required documentation is completed timely to include signatures.

  • Works with the site team to ensure that surgery reconciliations and consult records are processed timely for billing

    PRIMARY RESPONSIBILITIES

  • Ensures time, attendance and paid time off records are properly tracked and reported

  • Responsible for ongoing personal, professional, growth and development and maintaining licensure/certifications

  • Attends and participates in department, team and practice meetings as required

  • Greets all patients and families in a polite, prompt, and helpful manner while maintaining professional behavior and adherence to organizational values.

  • Cleans exam rooms and instruments, and restocks with necessary supplies

  • Responds to incoming patient calls in a timely and professional manner

  • Initiates injury and incident inquiries ensuring process is followed

  • Demonstrate professionalism at all times.

  • Performs other duties necessary to maintain the overall efficiency and continuity of the office

  • Displays cooperative behavior and interacts positively and effectively with others to promote a team environment 

  • Update and learn various office software support applications as appropriate

  • Is proactive in identifying, reporting, and participating in the resolution of any potential or safety issues

    QUALIFICATIONS

  • Medical Assistant, Orthopedic Tech (OTC), Athletic Trainer, CMA/RMA, Radiology Tech, LPN with current Maine LPN license

  • 2+ years’ experience in a healthcare environment with knowledge of orthopaedics desired

  • Previous lead/supervisory experience preferred.

  • Knowledge of and experience in healthcare field, medical office protocols/procedures

  • Skill in completing clinical tasks appropriately

  • Current BLS required.

  • Excellent communication and interpersonal skills necessary for interacting with patients, physicians, supervisors, and staff.

  • Skill in time management, prioritizing and medical care coordination.

  • Ability to organize and accomplish tasks and have the flexibility to meet changing demands on daily basis.

  • Ability to demonstrate compassion and caring in dealing with others.

  • Ability to maintain confidentiality.

  • Ability to project and maintain a professional image.

  • Ability to work independently and excel as part of a team.

  • Excellent customer service skills

  • Proficient computer skills and knowledge of electronic medical records

    PHYSICAL DEMANDS / WORK ENVIRONMENT

  • Daily use of computer operating instruments; stationary PC, Laptop PC, keyboard, and mouse

  • Light lifting of paperwork, folders or other general record keeping materials

  • Operation of various office equipment: fax machine, telephone & voice mail system, stationary/lap top computer, e-mail system, scanner, and copier

  • Lifting up to 20 pounds occasionally, and/or up to 10 pounds frequently

  • Walks frequently

  • May be required to sit or stand for extended periods of time

  • Risk of exposure to hazardous conditions and blood borne pathogens

  • Occasional reaching, twisting, bending
