Department: Accounting/Operations

Reports to: Vice President of Maintenance

Purpose of the Job

  • Industry knowledge and prior inventory experience are preferred. Successful applicants will also have records management experience, computer skills, and the ability to understand and apply governing rules and regulations.
  • Procure goods necessary for operations and maintenance of facilities.

Functions and Responsibilities

  • Process purchase orders for supplies, materials, equipment and services. Review orders for accuracy and completeness and ensure compliance with policy and procedure.

  • Maintain purchasing files to ensure all required documentation for purchase orders is available for audit and/or historical reference.

  • Update daily purchase order tracking spreadsheet.

  • Supervise storeroom; track and maintain facilitys parts and operational supplies.

  • Liaise with vendors to ensure quality and timeliness of orders/goods. Ability to expedite delivery of products and improve such products as necessary, which includes exploring other options to stay within a capital budget. Ability to negotiate pricing and terms of products.

  • Work directly with the Accounts Payable Department to ensure accurate and timely payment of invoices, as necessary for the business with the supplier, and ensure proper allocation for internal cost tracking.

  • Actively maintaining yearly and monthly budget of supply needs

  • Monitor and assist product inventory levels.

  • Actively tracking bin locations of supplies.

  • Work orders, which can span from weekly to yearly.

  • Facilitate review of vendor agreements, license permits, terms and conditions by contracts support manager. Determine whether vendor's terms and conditions are acceptable to the Company or if they require negotiation.

  • Assist with audits as necessary.

  • Other duties and responsibilities as assigned.

Qualifications

  • At least 2 years experience in sales, purchasing, procurement, repair maintenance or a similar field.

  • Experience in a manufacturing environment preferred.

  • 2 years of higher education preferred.

  • Strong organizational skills, excellent attention to detail and accuracy, productivity and responsiveness.

  • Strong and effective written and verbal communication skills.

  • Strong administrative, data entry/retrieval and computer skills with expertise in using Microsoft Suite to create and maintain internal reports.

  • Demonstrated listening and problem-solving skills and positive approach in dealing with problems.

  • Interpersonal skills and skills in collaborating with all departments in a spirit of teamwork to meet company goals.

  • Demonstrated skill in establishing cooperative and professional working relationships with peers, manager, customers, and vendors.

  • Skilled in working on multiple projects and balancing them in consideration of their priority.

  • Skilled in operating in a fast-paced environment with time-sensitive demands.

  • Previous experience in grant writing and submission preferred.

Physical Demands

  • Ability to walk up multiple floors each day.

  • Ability to work in varying temperatures.
